What a supplier trial is actually for

A trial is most useful when it answers one defined purchasing question, not when it is treated as a general demonstration. It can help a team observe how a named tablet sample and a stated coating brief are approached on a particular setup. It cannot, by itself, establish a final site process, a released product specification, or an assurance that every future batch will behave the same way.

That boundary makes the comparison more honest. Instead of asking which machine won, ask what each trial actually showed, under which recorded conditions, and which decisions still need project-specific work.

Use one shared input brief

Give every supplier the same non-confidential description of the tablet core: its shape, approximate dimensions, intended batch range, condition at handover, and any handling concerns you can share. Describe the coating system at the level your project permits, then mark any formulation or packaging detail that is deliberately outside the trial.

Do not ask vendors to guess missing information and then compare the guesses. A shared brief makes it easier to see whether different observations reflect equipment scope, trial conditions, or simply a different interpretation of the sample.

The first four fields

Start with the sample identity, the decision question, the agreed scope, and the site conditions that are assumed but still need confirmation. These four fields give every later observation a useful context.

Keep the machine boundary visible

Before trial day, write down what is supplied, who prepares the trial material, and which upstream or downstream steps are outside the session. Note the assumed utilities and any space, exhaust, or material-handling conditions that still depend on the customer site. A supplier cannot be compared fairly if the boundary changes without being recorded.

Include cleaning and changeover as part of that boundary. A useful trial record says whether these topics were observed, discussed, or left for the later technical agreement; it should never imply that a short session has confirmed an untested routine.

Collect observations, not marketing headlines

Ask for a simple, dated record: the sample identity, the stated task, the trial scope, material-preparation responsibility, meaningful adjustments made during the session, observations, and any interruption or question that changed the discussion. This is more valuable than a single success label because it remains comparable when several suppliers are involved.

Where samples are taken or visual observations are made, record who chose the point of observation and why. The objective is not to create a universal acceptance method, but to leave a traceable conversation for the project team.

Compare the evidence and the unknowns side by side

Put each supplier record in the same order. Compare what was actually observed separately from assumptions, quotations, and follow-up proposals. When two reports use different language for the same point, return to the shared brief before treating that difference as a machine advantage.

A pre-purchase trial may uncover questions about site utilities, cleaning responsibility, operator workflow, analytical methods, or packaging handoff. Keep those questions open until the responsible people agree how they will be addressed. They are not failures; they are the information a responsible selection process is meant to reveal.

End with a project conversation, not a verdict

Once the records are aligned, use them to focus a technical discussion around the proposed scope, your project constraints, and the next evidence needed.
